Terms and conditions - E-Tours Gent

General Terms and Conditions

Registration for activities with E-Tours takes place through the website (Resova booking system) or by email. The personal information requested during registration is used by E-Tours solely to communicate about the activities. You can decide at any time to change or delete your data. This personal information will never be passed on to third parties.

Equipment and Rental

Safety is highly regarded at E-Tours. We ensure that all participants have the right equipment to participate in our activities and are aware of the safety regulations. For our tours, each participant wears a helmet. The following rules apply to all types of use of equipment:

  1. E-Tours is not responsible for material or bodily harm caused to third parties by the use of our bikes.
  2. Rented equipment must be used for its intended purpose. Incorrect use is not allowed. The user must adhere to the safety instructions that accompany the rented materials and are provided by E-Tours.
  3. Rented materials must be returned in the same condition in which they were rented, i.e., washed, clean, and with all parts. E-Tours provides a water hose with a sprayer.
  4. In the event of damage or failure to return in the original condition, an amount of the deposit will be withheld that compensates for the damage.
  5. The E-Tour prices on the website are indicative. The exact prices are communicated upon reservation.
  6. The deposit is paid before using the material, cash or by transfer.
  7. No equipment will be rented without a deposit. The deposit is fully refunded provided that there is no damage to the rented material. If there is damage, an amount corresponding to the inflicted damage will be withheld. The deposit will be returned upon receipt of the material or refunded within 7 days. Regular wear and tear costs are, of course, not charged. We are talking about damage in accidents or falls.
  8. Damage or loss will be charged based on the prices of our supplier.

Accident or Damage During Activities

Safety and a sense of responsibility are priorities during the activities of E-Tours. Participants are always informed about the risks of the activity and receive extensive instructions regarding safety. The activities of E-Tours are active, sporty, and in nature. Participation in the activities is at your own risk. E-Tours cannot be held liable for damage, loss, or theft of/to the property of the participant or damage to persons (both participants and third parties). E-Tours has Liability Insurance for self-employed persons in the event the company is held liable due to negligence for damage to goods or persons. Accidents, injuries, or other damage resulting from your participation in the activities of E-Tours are covered by the participant's health insurance or family insurance. Physical or mental problems that may affect the course of the activities must be reported in advance.

Conditions of Cancellation by Private Individuals

An administrative cost of 10 euros is charged for cancellation by the participant. From 2 weeks before the start of the activity, 30% of the participation fee is deducted, 50% from 1 week, and 100% if canceled one day in advance or on the day itself. A registration is official after the registration form has been submitted by the participant and the payment has been received. The registration fee must be paid within 15 days after receiving the invoice or payment order.

Conditions of Cancellation by Companies

Companies personally contact E-Tours to discuss and reserve an activity. At the reservation, an expected number of participants is specified to estimate the total cost. The reservation is valid after a deposit of 50% of this cost is made. The remaining amount is transferred no later than 15 days before the activity takes place, and the exact number of participants is provided. The activity can be canceled up to 2 months in advance. An administrative cost of 30 euros is charged for this. Canceling from 2 months to 1 month before the start of the activity results in a cost of 15% of the total amount. Canceling from 1 month to 14 days before the start of the activity results in a cost of 30% of the total amount. Canceling from 14 days to 7 days before the start of the activity results in a cost of 50% of the total amount. Canceling less than 5 days before the start of the activity results in a cost of the full amount.

Cancellation by E-Tours

Poor weather is not a reason to cancel the activity. Only in the event of severe weather will the activity be moved to another date or an alternative sought. For all activities in private context, a minimum of 6 participants is required. Smaller groups can ride, but then you pay the minimum buyout sum for 6. If an activity must be canceled by E-Tours due to force majeure (accident, damage to equipment, etc.), the participant will be informed as soon as possible. In this case, the participant is entitled to 100% refund of the registration fee. The participant cannot claim compensation if E-Tours cancels an activity.

Program and Participants

The activities of E-Tours are organized in nature. This is a variable and unpredictable environment. Therefore, E-Tours reserves the right to adapt the tour based on the group composition, weather conditions, or force majeure. An equivalent alternative is always sought together with the participant. Excessive consumption of alcohol is not allowed during the activities of E-Tours. Participants who are clearly under the influence of alcohol or drugs at the start of the activities will be refused. When a participant becomes under the influence during an activity, all responsibility of E-Tours for damage or accidents lapses. Behavior by a participant that disrupts the smooth running of the activity is not tolerated and leads to exclusion from further participation. E-Tours wants to connect people with nature in a sustainable way. We strive to organize our activities as sustainably as possible. We require the participant to take care of nature and to treat the other participants and our environment with respect.
